Health & Safety

Any public space where people gather holds an inherent risk of exposure to COVID-19. For your own protection, and for the safety and well-being of those who live and work in your care settings, we strongly encourage all who attend the Fall Conference to follow CDC guidance for preventing the spread of COVID-19, including the recommendation that individuals should wear masks while in indoor public places. By attending the Fall Conference, you acknowledge that you understand and voluntarily assume the risk of exposure to COVID-19, including medical issues that may result, and you agree to release LeadingAge Iowa from liability as it relates to contracting COVID-19. If you have recently been diagnosed with COVID-19 or had close contact with someone diagnosed with COVID-19, or experienced symptoms related to COVID-19, you should not attend the Fall Conference. If you begin to experience symptoms during the event that may be related to COVID-19, you should separate yourself from other participants by remaining in your room or returning home.

LeadingAge Iowa will implement the following measures to keep conference attendees as safe as possible:

  • Adherence to CDC guidance regarding mask use.
    • Based on the CDC guidance that all individuals (regardless of vaccination status) wear masks in indoor public settings, masks will be required during Fall Conference. Signage on doors and at registration will be in place.
    • Masks will be available onsite for anyone who does not bring their own. Thank you to Elim Preferred Services, Inc., a valued bronze annual sponsor with LeadingAge Iowa, for supplying face masks for our conference.
  • Increased sanitation throughout the convention complex that includes hand sanitization stations and enhanced sanitation of the venue and hotel as part of the DoubleTree by Hilton CleanStay program that was developed as a result of the pandemic. Disinfecting wipes will be available at the registration desk provided by ResiDex Software, a valued business partner with LeadingAge Iowa. Thank you, ResiDex Software, for your support!
  • Entire convention center reserved for LAI event.  LAI worked with the DoubleTree Hotel to acquire all convention center space for our event.  LAI will be the only organization using the convention space for the duration of our conference, and the additional space will provide for distancing options in education sessions and scheduled events.
  • Session layout based on anticipated attendance.  We required sessions to be selected during the registration process. While we know that some attendees may change their minds about sessions once onsite, requiring early selection allows us to estimate attendance in each session and select the most appropriate layout design to provide distancing options.
  • Meal service adjustments.  A designated meal service location has been identified, which allows food items to be in a controlled area that can be easily monitored and maintained by convention center staff.  Food items will be arranged and labeled to provide for quick dissemination and to avoid congestion of long lines.  As with education sessions, there will be distancing options at the tables in the meal service area as well.   
  • Additional registration desk will be set up to help avoid congestion.
  • Visual indicators of attendee comfort level.  Upon check-in, attendees can select a “distance button” to alert others of their socialization comfort level.
    • Green will indicate very comfortable with interacting (hugs).
    • Yellow indicates happy to connect with elbow bump or high five.
    • Red means willing to connect from a distance (6’ preferred).

As we continue to make plans to see everyone in Cedar Rapids, please know the safety of all our speakers, business members, and conference attendees is our number one priority. Please note that LAI will continue to monitor and adhere to state and national guidelines, making adjustments and alerting attendees if necessary as we move forward. We are in continuous contact with the DoubleTree by Hilton Hotel and Convention Complex and that will continue.

While we are not requiring those in attendance to be vaccinated, we are confident that most of our attending members are and strongly encourage those who are not to do so for their personal safety and that of others. Anyone who has recently been diagnosed with COVID-19, has been close contact with someone diagnosed with COVID-19, or is experiencing symptoms related to COVID-19 should not attend the Fall Conference. Anyone who experiences symptoms that may be related to COVID-19 during the event should separate from other participants by remaining in their room or returning home.
